Information on the processing of personal data

(hereinafter only as the „Information“)

  1. Who we are

    The company REGSHARE s.r.o., ID No.: 06772374, with the registered office at the address: house number 128, 277 03 Horní Počaply, Czech Republic (hereinafter only as the “Company” or “us” in all forms), as a personal data controller, hereby provides this Information and acknowledges users of their services and business partners, how they process and protect collected personal data.
  2. Purpose of this document

    Subject matter of this document is to inform users and customers about personal data which we collect and process based on the General Data Protection Regulation (EU) No. 2016/679 (hereinafter only as the “GDPR”) on the manners and tools used to process personal data and manners of their protection.
  3. We care about your privacy

    Privacy of our users and customers is a significant value for us, which we have taken into account during creation of our services. We are aware that we handle sensitive data which you do not want to share with others without your control.
    We undertake to not sell your data to third parties (see more below).
  4. The types of personal data which we process and how we use them

    In this section we describe the data which we may collect about you and process, and we inform you about your selections. Not all data have the nature of personal data, but we want to be transparent about the collection of data even in these situations.
    1. Visiting the websites

      During your visit of the websites, we analyse how you interact with them to better understand needs and preferences of users and to improve them. The majority of such collected data does not have the nature of personal data and they are stored in aggregate for the purpose of statistical analysis, facilitation of login and repeated login to the interface for registered users. To be able to distinguish between individual users, we assign an individual identifier, which we do by setting a cookie file in your browser.
    2. Site usage analysis

      The web uses web analysis service to collect aggregated Web usage statistics (Google Analytics service). No personal data are collected for this analysis. We use these data to improve the websites and user experience and to improve the reach of our services.
    3. Registration

      In order to register on the web, you must provide your e-mail, set a password, select a username, define a contact person and provide the data about your company. After registration, we assign each user with a numerical ID for further processing, which is used as a pseudonymous identifier.
      We will use the e-mail to stay in touch with you in connection with the registration and our services. Important notifications will be sent to you through the provided e-mail or you can contact us to process your requests (e.g. password reset).
      Registration and processing of related personal data is performed based on your consent provided during the registration process. To secure the access and increase the protection of your data we use the two-factor authentication using Google Authenticator service.
    4. Contact by chat

      To ensure the best customer support and direct communication with our company, web users have the opportunity to contact us through the chat integrated into the website. User can fill in personal data in the pre-chat and offline form or during any conversation within the chat. These data are protected based on a personal data processing agreement and they cannot be provided by a service provider to any third party.
      Our company uses data from the chat only to answer questions or their later processing. If a user does not give their direct instruction (for example, for the purpose to conclude any transaction, send a personalised offer etc.), these data are not processed further.
  5. Processing entities

    We will not sell your personal data to anyone. Personal data may be provided to public administration authorities and/or criminal authorities, if it is required by the relevant act or if it is necessary for the enforcement of our rights or for the protection of our legitimate interests (including third parties’ legitimate interests) in compliance with the applicable laws.
    As a modern enterprise, however, we rely on the expert services of our partners who help us to provide better services, especially to ensure that the data are stored securely. We select our providers of services carefully and with respect to security, confidentiality and integrity of your personal data. Our providers of services are bound by contractual obligations to store your data securely and privately. We do not share more date than necessary with our providers of services. Below we describe how our providers of services are involved in the processing.
    • Aira GROUP, s.r.o.

      We use services of Aira GROUP, s.r.o. for the development, management and security of our web application. This supplier ensures regular updates and installation of security patches (patch management), security of stored data, database management and development based on the use of secured platforms.
    • Google analytics

      To analyse web usage, we use Google analytic services (as described above). Google Analytics services are provided by Google LLC, a US company. We have concluded a data processing agreement with the company Google LLC pursuant to the GDPR. The company Google has obtained the international Privacy Shield certificate for international transfers of personal data.
    • Google authenticator

      For highly secured login into the application (and prevention of the most common types of attacks on web applications), we use the Google authenticator tool which does not process personal data itself, but only pairs them with an existing user.
      This service is also provided by the company Google LLC.
    • Smartsupp.com, s.r.o.

      The primary functionality of the chat module provided by Smartsupp.com, s.r.o. is to ensure the communication with web visitors in real time. This service includes the following modules:
      1. Chat box (chat widget) which is placed on the web by insertion of the script into its code.
      2. Dashboard which you and your employees can use to answer questions of visitors of your websites asked through the chat box. Dashboard is a web interface available on the address dashboard.smartsupp.com. You can also change the service settings here.
      3. Mobile application which allows communication with users through a mobile phone with Android or iOS/iPhone operation system.

      Website hosting (webserver and database operation) is ensured for us by the certified supplier INTERNET CZ,a.s.

  6. Cookies used on the web

    Cookies are small text files which are stored in your browser. They are used by web developers to help users efficiently browse through websites and perform certain functionalities, especially easier login. With respect to their main task when improving site usability or facilitating processes, disabling cookies can prevent users from using certain functionalities of the web.   7. Information about your rights

    You can ask us for a confirmation if we process your personal data, copy of your personal data and/or their rectification. Under certain circumstances, you can ask us to delete your personal data or based on your right of transferability to request to handover some of your personal data to you or other entities. Also, you have the right to file objections against some types of processing of your personal data (for example, by their usage and processing for the need of direct marketing). If we asked you for your consent with the processing of personal data, you can withdraw your consent without any negative consequences for you. Also, you have the right to file an objection if we process your personal data due to our legitimate interest (as explained above). Under certain circumstances, you also have the right to ask for the restriction of the processing of your personal data.
    Please note that your rights mentioned above may be limited in certain situations and are subject to the applicable laws and regulations on personal data protection; for example, your right to file objections against the processing of your personal data may be limited when we are able to prove serious legitimate interests to process your personal data which prevail over your interests. In order to respond to your request, you will need to prove your identity and provide us with additional personal data. We will not charge you with any fees for the response to your request, unless it is permitted by the applicable laws, and if we will charge you with any fee, it will be in the appropriate amount corresponding with the scope of your request.

You are also entitled to file a complaint to the competent office for personal data protection. You can file a complaint in the member state of which you are resident, where you work or where any alleged breach of laws on the protection of personal data occurred.
  8. Storage period of personal data

    We store personal data only for the period which will be in compliance with our privacy policy and not for more than it is necessary to fulfil the purposes mentioned in this Information and/or as it is required by the applicable laws, including the adherence to the minimum storage period of personal data defined by the act and/or as it is necessary to exercise our legitimate rights (and legitimate rights of third parties). For example, if you are our Business partner, we will store your personal data for the duration of our mutual contractual relationship or for the period required by the local laws (especially by tax and accounting). If we have a longer business relationship with you as our Business partner (for example, if we use the same personal data repeatedly in contracts with you), we will store your personal data until termination of our business relationship, during the minimum period to store personal data defined by the act and in compliance with our privacy policy.   9. Security of personal data

    We store your personal data on third parties’ servers (see above). We use appropriate technical and organizational measures to protect your personal data and to prevent any unauthorized access. We have concluded contracts with external hosting providers which include arrangements about the organizational and technical security of personal data. Users are responsible for the concealment of their login data (e.g. passwords) which allow access to such parts of the web which are only for registered users.
    Internet sending of personal data is not absolutely secured. While we do our best to protect your personal information, we cannot guarantee the security of your personal data provided through our web, and any such transmission is at your own risk. Once we receive your personal data, we try to prevent any unauthorized access by adhering to adequate processes and using security features.

    Our Websites may contain links to other websites which are not controlled by the Company. After click on any external link, you will be referred to third parties’ websites. If you will visit these referred websites, you should review their privacy information. We are not responsible for policies and procedures of other companies. Our Company cannot control the content, privacy policies and principles or procedures or sites and services of third parties, and we are not responsible for them.
